From a 13-digit number on a drawing to an item name, a part number cross-reference, and a price — without paying for a subscription or waiting on an RFQ.
More failed lookups start with a mis-read number than with a bad search tool. On a drawing, an illustrated parts catalog (IPC), or a maintenance manual, the NSN is 13 digits, conventionally hyphenated 4-2-3-4: for example 3020-00-277-1119. The first four digits are the Federal Supply Class, the last nine are the NIIN — the anatomy is covered in depth in What Is a National Stock Number?. Practical reading rules that save time:
Hyphens are cosmetic. Search tools generally accept the number with or without them; if one format fails, try the other before concluding the number is dead. Watch for NIIN-only callouts. Older manuals sometimes print just the nine-digit NIIN and assume you know the class; a nine-digit number in an NSN column is a NIIN. Don't confuse the NSN with adjacent columns. IPC tables put the part number, the NSN, and sometimes a figure/index number side by side — a 13-digit string is the NSN, an alphanumeric string like MS20219-4 is the part number, and either one can drive a lookup. Transcribe all 13 digits. The most common dead-end we see in RFQs is a stock number with a dropped digit; if a search returns nothing, count the digits first.
All roads lead back to one dataset: the federal cataloging records maintained under the Federal Logistics Information System (FLIS). Everything below is a different window onto it.
The Defense Logistics Agency publishes free public search over the cataloging data. Entering an NSN returns the approved item name, the FSC, reference part numbers with their CAGE codes, and coded characteristics. This is the authoritative source — when two sites disagree, the DLA record wins. The interfaces are built for logisticians rather than buyers, so expect codes instead of prose, but the data is complete and it is free. Government-side buyers will also find NSNs referenced throughout solicitations on sam.gov, which can itself be a back-door way to see recent procurement activity on a stock number.
A number of commercial sites republish WebFLIS-derived data with friendlier search and formatting. They are useful for quick orientation — item name, part number references, sometimes characteristics. Two cautions from experience: the data lags the official records by whatever their refresh cycle is, and the sites exist to harvest RFQs, so treat "request a quote for availability" as an ad rather than as evidence anyone has stock.
Often the fastest route runs backwards. If your document gives a part number — MS, NAS, AN, or an OEM number — search by that instead: the cataloging records link part numbers to the NSNs cataloged against them. A full cataloging record is dense. For a buyer verifying an item, four fields do nearly all the work:
The standardized noun phrase — "Screw, Machine," "Pulley, Groove," "O-Ring." Your first sanity check: if the item name doesn't match what your drawing calls for, stop and re-verify the number before going further.
The supply class confirms the category and gives you a browsing hub — 5305 for screws, 5310 for nuts and washers, 5331 for o-rings. A class that clashes with the item you expected is another mis-transcription flag.
The list of part numbers cataloged as satisfying the item, each tagged with the CAGE code of the organization behind it. This is the field that turns a stock number into something you can actually buy, compare, and substitute.
Coded physical data — thread size, material, plating, dimensions. When an NSN lists several reference part numbers and your application is fit-critical, the characteristics plus the governing spec are how you confirm equivalence.
You will also meet acquisition codes like AMC and AMSC (acquisition method and its suffix). At a high level they describe how the government competes purchases of the item — full competition versus source-controlled and so on. They matter if you are bidding DLA solicitations; they tell a commercial buyer verifying hardware almost nothing. Note what the record never contains: a price, and any statement of who currently has stock. Those live with sellers, not in the catalog.
Stock numbers get replaced as specifications evolve or duplicate catalog entries get merged. A manual printed in 1988 can confidently cite an NSN that no longer resolves. The record usually points to the replacement; when it doesn't, pivot to the reference part number and search by design instead of by stock number.
Multiple references under one NSN are interchangeable for supply purposes — which is not the same as identical. Two manufacturers' parts can both satisfy the cataloged description while differing in details your assembly cares about. When fit is critical, confirm against the governing specification, not just the number match.
The reverse trap: a specification with dozens of dash sizes generates dozens of NSNs, one per size. Searching "the NSN for MS20219" is a malformed question — each dash number has its own. Make sure the dash number on your document made it into your search.
If you paste a nine-digit NIIN into a tool expecting 13 digits, or vice versa, many searches silently return nothing. Count digits before declaring an item extinct.
Sometimes every route dead-ends: the NSN is cancelled, no reference part number has an active source, no stock surfaces anywhere. At that point you are no longer shopping; you are manufacturing. For most buyers: the approved item name, the Federal Supply Class, the reference part numbers with their CAGE codes, and the coded characteristics. Acquisition-side codes like AMC/AMSC matter mainly to government contractors assessing competition, not to a commercial buyer verifying an item.
Because an NSN names an item of supply, not a single design. Every part number cataloged as satisfying that item appears as a reference. The parts are interchangeable for supply purposes, but when fit is critical, confirm against the governing specification rather than assuming every listed reference is identical in every detail.
Chase the replacement NSN recorded in the cataloging data, or pivot to the reference part number and search by that — the design usually outlives any one stock number. If the item is genuinely unobtainable, having it manufactured to the governing spec is the remaining path; send the spec or drawing for a quote.
